01Who we are
Gradify Learning ("Gradify", "we", "us", "our") is an admissions guidance and counselling service for online degree programs offered by UGC-entitled universities. Our registered legal name is Gradify Learning.
We are not a university and we do not award degrees. We help you compare programs and universities and guide you through the admission process. The university you choose makes the final admission decision.
For the purposes of India's Digital Personal Data Protection Act, 2023 ("DPDP Act"), Gradify is the Data Fiduciary for the personal data described in this policy, and you are the Data Principal.
02What this policy covers
This policy explains how we collect, use, share and protect your personal data when you:
- visit our website;
- fill in an enquiry form, the free counselling pop-up, or any other form on our site;
- chat with Gradify Guide, the course finder on our website;
- speak to or message our counsellors by phone, WhatsApp, SMS or email.
It does not cover the websites or apps of universities, WhatsApp, or other third parties. Their own privacy policies apply when you use their services.
03Information we collect
Information you give us
- Contact details: your full name, mobile number and, if you choose to share it, your email address.
- Course interest: the program or course you select or ask about.
- Your consent record: whether you ticked the consent box, the exact wording you agreed to, and the date and time.
- Anything else you tell us: for example, details you share with a counsellor about your education, work experience or goals.
Answers you give Gradify Guide
If you use Gradify Guide, it records the answers you give and the words you type so it can suggest a suitable program. This can include your goal (for example a promotion or a career switch), your education level, your field of interest, your budget range, the hours you can study each week, whether you are working, and the program it suggested. If you then send an enquiry, this summary is sent along with it so your counsellor doesn't have to ask you the same questions again.
Please don't type sensitive information into Gradify Guide, such as your Aadhaar number, bank details or health information. It doesn't need it.
Information collected automatically
- Visit details: the page you sent the form from, the website that referred you, and the date and time.
- Device details: your browser and device type, as reported by your browser.
- Campaign details: if you arrived by clicking an advertisement or a tracked link, the campaign tags in that link (for example
utm_source,utm_campaign,gclidorfbclid). These tell us which advertisement or channel brought you to us.
Information from calls and messages
When you speak to our counsellors, they may note what you discussed and the next steps. If a call is recorded for quality or training, we will tell you at the start of the call.
What we do not collect on the website
Our website forms do not ask for Aadhaar, PAN, bank or card details, or academic documents. If you decide to apply to a university through us, that university may need documents from you. We will tell you what is needed and why at that point.
04How we use your information
We use your personal data only for these purposes:
- To respond to your enquiry and give you free counselling about programs, fees, eligibility and universities.
- To recommend suitable programs, including through Gradify Guide.
- To help you apply to a university, when you ask us to.
- To contact you by call, SMS, WhatsApp or email with updates and notifications about your enquiry, application and relevant programs, as you consented to (see section 6).
- To understand which advertisements and channels work, so we spend our marketing budget sensibly.
- To improve our website and service, and to train our counsellors.
- To prevent spam, fraud and misuse of our forms and services.
- To meet our legal obligations and to respond to lawful requests from authorities.
We do not use your personal data for any purpose that is unrelated to these without asking you first.
05Why we are allowed to use it
We process your personal data on the basis of:
- Your consent, which you give by ticking the consent box when you submit a form. This covers counselling, program recommendations and contacting you (purposes 1 to 6 above).
- Legitimate uses permitted by the DPDP Act, such as where you have voluntarily given us information for a specific purpose, and where processing is needed to comply with the law (purposes 7 and 8).
You can withdraw your consent at any time (see section 12). Withdrawing does not affect anything we did lawfully before you withdrew.
06Calls, SMS, WhatsApp and DND/NDNC
Every form on our website asks you to tick this box before you can submit it:
I authorise Gradify Learning & its representatives to contact me with updates and notifications via Email/SMS/WhatsApp/Call. This will override DND/NDNC.
By ticking it, you give us your explicit consent to contact you about your enquiry, applications and relevant programs by phone call, SMS, WhatsApp and email. This applies even if your number is registered on the National Customer Preference Register (DND/NDNC), as permitted by TRAI's Telecom Commercial Communications Customer Preference Regulations. Your consent applies only to Gradify Learning and the representatives acting for us. It does not allow anyone else to contact you.
You can stop these communications at any time. Reply STOP to our SMS or WhatsApp messages, tell the counsellor on a call, or email us at info@gradifysolutions.com. We will stop promptly. We may still contact you once to confirm your request, or where the law requires it.
09How long we keep it
- Enquiries and counselling records: for as long as we are helping you, and then for up to 24 months after our last interaction with you, unless you ask us to delete them sooner.
- If you enrol through us: for as long as needed to support your admission and to meet our agreements with the university, and afterwards only as long as the law requires.
- Consent records and opt-out requests: for as long as needed to prove your consent or honour your opt-out, even after other data is deleted.
- Records we must keep by law, such as invoices: for the period the law requires.
When we no longer need your personal data, or you withdraw consent and no legal reason requires us to keep it, we delete it or make it anonymous.
10How we protect it
We use reasonable security measures to protect your personal data. These include access limited to staff who need it, encrypted connections (HTTPS) on our website, access controls on the tools where enquiries are stored, and confidentiality obligations for our team and service providers.
No method of storing or sending data is completely secure. If a personal data breach affects you, we will inform you and the Data Protection Board of India as the DPDP Act requires.
11Where your data is stored
Your personal data is stored and processed in India, and by our service providers (such as Google) on servers that may be located outside India. Any transfer outside India follows the DPDP Act, including any restrictions the Government of India notifies on transfers to particular countries.
12Your rights
Under the DPDP Act, you have the right to:
- Access: get a summary of the personal data we hold about you, what we do with it, and who we have shared it with;
- Correct and update: correct inaccurate data, complete incomplete data, and update your details;
- Erase: ask us to delete your personal data when it's no longer needed or you withdraw consent, unless the law requires us to keep it;
- Withdraw consent: at any time, as easily as you gave it;
- Grievance redressal: have your complaints handled by our Grievance Officer (section 16);
- Nominate: name someone to exercise these rights for you in the event of your death or incapacity.
How to use these rights: email info@gradifysolutions.com or call +91 79800 06284, and tell us your name, the phone number you used with us and what you want us to do. We may ask you to verify your identity before we act. We aim to respond within 30 days.
If you're not satisfied with our response, you can complain to the Data Protection Board of India.
13Children's data
Our counselling services are meant for adults (18 years or older). Many learners contact us after completing Class 12. If you are under 18, please ask your parent or legal guardian to contact us or fill in the form for you, so that they can give consent on your behalf.
We do not knowingly process a child's personal data without verifiable consent from a parent or guardian. We do not track the behaviour of children or target advertising at them. If we find that we have collected a child's personal data without that consent, we will delete it.
14Other websites
Our website links to other websites and services, such as university websites and WhatsApp. We are not responsible for how they handle your data, so please read their privacy policies.
15Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top shows when it last changed. If a change significantly affects how we use your personal data, we will tell you, for example by a notice on our website or a message to you, and ask for fresh consent where the law requires it.
16Grievance Officer and contact
We will acknowledge your grievance within 48 hours and aim to resolve it within 30 days.
